In-Person Appointments and Check-In
The team demonstrated a lobby management workflow that allows support staff to view scheduled appointments, check students in and update appointment status. Advisors can start and end appointments directly from the same interface, allowing appointment statuses to move from scheduled to in progress and then attended.Ìý

In-Person Drop-In Advising
Students can now be added to a drop-in advising queue through support staff or by using a self-service check-in terminal. During the demonstration, students selected a topic, provided additional details and joined a queue for advisor support. Advisors can indicate when they are available for drop-ins and accept students from the queue directly from their dashboard.Ìý

Virtual Drop-In Advising
Sprint 4 also introduced a virtual waitlist process. Students can join a virtual advising queue through the student portal and are informed of their position in line. Advisors can view incoming virtual appointments, accept appointments and send meeting details through their preferred communication method. Presenters noted that future sprints will include updated portal navigation and branding for these experiences.Ìý

Appointment Notifications
The sprint added new notifications when appointments are updated by staff. In the demonstrated scenario, an advisor changed an appointment from in-person to virtual, triggering an email notification to the student. The system supports both generic notifications and advising-office-specific templates.Ìý

Alerts & Outreach
Sprint 4 introduced foundational course-alert functionality within Education Cloud.
In the demonstrated workflow, instructors submit course alerts when a student's performance falls below established thresholds. Advisors can view active alerts, review supporting information and see how many active alerts a student has on their learner record. Students receive notifications using templates configured by their advising school or unit.

Interaction & Activity Management
Sprint 4 introduced automatic naming conventions for interaction summaries.
During the demonstration, advisors created interaction records after following up with students. The system automatically generated standardized interaction-summary names using appointment information and interaction modality, reducing the need for manual naming. Updates to appointment modality automatically updated the related interaction summary naming convention.

Advisor Availability
The sprint delivered new advisor availability management tools.
Advisors and managers can now view availability using list and calendar views built around Salesforce "shift" records, which represent the times advisors are available to accept appointments. Managers can filter availability views by office, advisor or advising group to better understand appointment coverage.Ìý

Sprint 4 also added advisor specialties. Advisors can update specialty areas that are visible to students, helping students identify staff members with relevant expertise. The demonstrated specialties included areas such as academic success, campus affairs and financial management.Ìý

Sprint 4 included a system update related to student success teams.
Project teams implemented a safeguard to ensure student success team assignments can only be assigned to internal users, preventing students from being assigned advising responsibilities within the system.Ìý

Looking Ahead
Sprint 5 development was scheduled to begin June 24, with a Sprint 5 demo planned for July 13 and testing scheduled for July 14-16. Future demonstrations are expected to expand course-alert functionality, advisor workflows and student-facing experiences, including additional portal functionality and instructor-facing course-alert processes. Project teams also indicated that more robust functionality will be introduced as the project progresses beyond these foundational sprints.
