Business, Finance and Infrastructure (BFI) staff are invited to this organization-wide meeting to hear from the Senior Vice Chancellor, learn valuable information, and build connections across our "One Team.”

Join the meeting online using the Microsoft Teams meeting information below, or watch the meeting at one of the following in-person viewing rooms in the University Memorial Center (UMC)

UMC Room 417 – English viewing room (capacity ~34)
UMC Room 247 – Spanish viewing room (capacity ~42), with live translation in Spain Spanish (note: this dialect may differ slightly from what many of us are used to)

Viewing rooms open at 9:30 a.m.; meeting runs from 10:00-11:00 a.m.

Below are important AiM time‑coding and MyLeave instructions to help you record your hours correctly.

For employees who ONLY use MyLeave to submit leave requests (non-AiM users)

Any hours you volunteer during commencement weekend (Saturday, May 2, or Sunday, May 3) can be used later as administrative leave.

Please see the Chancellor’s announcement Linked Here for instructions on how to request your earned administrative leave. Any administrative hours earned must be used on or before June 30, 2026.

For employees who use AiM to record timecards

Employees Required to Work Commencement

If an employee is REQUIRED to work as part of their campus role and responsibilities, they should discuss with their supervisor the options below:

FLSA Non-Exempt Employees (Eligible for Overtime)

Adjust Weekly Hours

Supervisors may reduce an employee’s work week hours to account for the required weekend commencement hours.

Example: An employee is scheduled to work a 40-hour workweek but is also required to work 6 hours for commencement on Saturday (5/2). If approved by the supervisor, the employee may instead work a 34-hour workweek and 6 hours on Saturday, 5/2 for commencement.

The 34 hours would be coded based on when more than half of the scheduled shift hours occur (e.g., RGS, SHF, 3SS).
The 6 hours worked on Saturday (5/2) should be coded as differential (3HW).

If Hours Cannot Be Adjusted

If an employee’s 40 hours cannot be reduced within the same week, then the employee will work a full 40-hour week plus the weekend commencement hours.
For all hours worked on Saturday, the employee must be compensated with all applicable overtime/comp time and differential pay (e.g., OTPOW, 3OW, CTPOW).

FLSA Exempt Employees (Not Eligible for Overtime)

Supervisors may choose to reduce an employee’s hours within the week to account for the required weekend commencement hours.

Example: An employee scheduled for a 40-hour workweek and required to work 6 hours on Saturday (5/2) may work 34 hours during the week and 6 hours on Saturday.

The 34 hours would be coded as RGS.
The 6 hours worked on Saturday (5/2) should also be coded as RGS.

If Hours Cannot Be Adjusted

If an employee’s 40 hours cannot be reduced within the same week, then the employees will work their full 40-hour workweek plus their weekend commencement hours.
Employees will receive an Administrative Leave Float Day (ADLV) for hours worked during commencement. Administrative Leave Float Day (ADLV) must be used by the end of the fiscal year (on or before June 30, 2026).

Employees Not Required to Work Commencement (Volunteers)

If an employee is NOT REQUIRED to work as part of their campus role and responsibilities, and their role is not directly tied to sponsoring or facilitating these events, they are then considered to be volunteering and their time is not considered work time. Volunteering in weekend campus events like commencement should be discussed with and approved by their supervisor.

If volunteer time is approved by supervisor, the following options apply:

The application window for the summer 2026 Tuition Assistance Benefit (TAB) opens May 1. On most campuses, TAB allows you or a dependent to have up to 12 credits waived per academic year. For Boulder employees using it on the Boulder campus, dependents get a 40% tuition discount.

Regular, non-temporary employees working 20 hours or more per week are eligible to use TAB for themselves or their dependents. In general, if you qualify for health insurance through CU, you’re also eligible to apply for TAB.

There are benefit limits, including differences in use by campus and possible tax liability. To learn more, review the TAB website, the TAB Benefit Guide and Frequently Asked Questions.

TAB application steps

Before you begin the steps below, you or your dependents may want to review the eligibility information pages for employees and for dependents to understand which courses and programs are eligible for TAB use and which are not.

Step 1: Apply to the campus you or your dependent plan to attend. If you or your dependent want to take classes but are not pursuing a degree or certificate, follow that campus’ instructions for non-degree-seeking students. Those deadlines may be earlier than the TAB deadlines.

Note: The Boulder campus has separate non-degree application processes for CU employees and their dependents as compared to people with no affiliation to the university.

Step 2: Register for classes.

Step 3: Complete the Tuition Assistance Benefit Application in the employee portal. Employees must complete the TAB application for dependents. List backup class options in case your preferred class is full.

Step 4: Watch for confirmation from your campus Bursar’s Office that your tuition assistance has been applied to your account.

Step 5: If necessary, resubmit your TAB application. This will only be needed if you or your dependent change the class(es) you are requesting to have covered by TAB or your application was rejected due to an error.

Visit the TAB page for your desired campus to find student application deadlines and links. Be sure to apply for TAB before your campus deadline.

University Staff: CU allows full-time staff to keep a maximum of 44 days (or 352 hours) of vacation within a fiscal year (July 1 - June 30). If you meet this maximum, you must either take or schedule vacation before June 30, or you will lose it.

Classified Staff: Maximum accruals for Cassified staff members in regular appointments are based on months of service. See the Classified Staff Leave Policies chart for full details.

All staff should double check your leave balances now, and make plans to use any hours of vacation time over the maximum allowable accrual time before the July 1 leave sweep deadline. As always, vacation leave requests are subject to the approval of your supervisor; don’t wait until June to put in your leave requests. If you have any questions regarding vacation leave, please contact your supervisor.

CU employees are eligible for a free Boulder BCycle CU student and employee membership, thanks to a partnership between ��Ҵ�ý�ƽ��'s Environmental Center and BCycle. Previously, employees received a discounted rate.

This membership gives you unlimited 60-minute rides - perfect for getting around campus or between CU locations. Just download the Boulder BCycle app and use your identikey@colorado.edu email address when registering.

Bike sharing is a convenient, eco-friendly way to connect to public transit, run errands, or simply enjoy Boulder - no need to worry about parking, locks, or maintenance. CU employee and student participation is expected to help push annual BCycle rides past 750,000!
